Privacy Policy

1. Introduction

Travel Beyond Group (TBG) understands the importance of, and is committed to, protecting the privacy and confidentiality of your personal information. We comply with the New Zealand Privacy Act 2020 (Privacy Act) and the Information Privacy Principles (IPPs) which govern how we collect, use, disclose, store, and provide access to personal information.

This policy explains how we handle personal information about individuals for whom we arrange travel products and services (“you”).

TBG also complies with privacy obligations in other jurisdictions in which it operates. It is in our legitimate business interests to provide you with travel and related services, and to use the personal information you provide for the purposes outlined in this policy.

 

2. Information We May Collect and Hold

The types of personal information we collect depend on the travel services or related products we provide. Generally, we may collect the following types of personal information:

  1. Your name, address, email address, and contact details
  2. Company or organisational details
  3. Your date of birth
  4. Gender
  5. Nationality
  6. Payment, billing and credit information
  7. Travel-related details including passport information, visa details, frequent flyer memberships, drivers licence, travel preferences, itineraries
  8. Employment details where travel is organised through your employer
  9. Identification documents (e.g. passport, driver’s licence, birth certificate)
  10. Health or medical information where required for travel insurance, accessibility needs, or to meet airline or destination requirements (with your consent)

We will only collect sensitive information (e.g., health details) where required by law or with your express consent.

 

3. How We Collect and Hold Your Personal Information

We usually collect personal information directly from you—for example, when you call, email, submit a form, or book travel through our website or consultants.

We may also collect personal information from:

  1. Your employer or colleagues, where a travel package is being booked by them on your behalf;
  2. Couriers;
  3. In the case of prospective employees, recruitment agents;
  4. Third parties who hold mailing lists to which you have subscribed;
  5. Third party service providers such as airlines or accommodation providers where your booking is required to be made or amended by us on your behalf.
  6. Our service providers may provide us with your personal information from websites, social media sites, mobile, and other technology-based sources.

We will obtain your permission before collecting information from a third party unless permitted by the Privacy Act.

 

4. Do You Have to Provide Your Personal Information?

You can deal with us anonymously (without giving us your name and contact details) or by using a pseudonym (a name that does not include your real name, for example an email address or a user name that you use in an online forum (nickname)).

If you choose to deal with us anonymously or using a nickname, we can only give you general information about our products and services.  We cannot:

  1. give you information about travel you (or your employer) may have booked or deal with a complaint you may have
  2. provide you with a service or deliver a product or service to you at an address

You can deal with us using a nickname together with your real name and contact details. If you choose to deal with us in this way, we may collect your personal information together with your nickname. When you identify yourself to us using your nickname only, we can deal with you only as described above. We may ask you to provide proof of your identity if you use a nickname.

 

5. Why We Collect, Hold, Use and Disclose Your Personal Information

We collect, hold, use and disclose your personal information for purposes including:

  1. Arranging and providing travel, accommodation, insurance and related services
  2. Communicating with you about your bookings or enquiries
  3. Providing information about services offered by TBG or our partners that may interest you
  4. Facilitating internal business operations, including compliance with New Zealand law
  5. Recruitment and employment related administration
  6. Analysing service performance and improving our offerings

We will not use or disclose your personal information for any purpose that is not related to those above unless:

  • You have consented
  • The purpose is allowed under the Privacy Act
  • Required or authorised by law

 

6. How you May Access or Seek the Correction of Personal Information Held by Us

You may access or seek the correction of any Personal Information held by us by contacting the consultant acting on your behalf in any of your current bookings with us.

We will deal with your request for such access within a reasonable time. If we refuse access, we will provide you with a written notice which sets out the reasons for the refusal and the relevant provisions of the Privacy Act that we rely on to refuse access. We may recover reasonable costs in relation to a request for access to personal information.

 

7. How You May Complain about a Breach of the Privacy Act

If you believe we have breached the Privacy Act or handled your personal information improperly, you may lodge a complaint with us in writing using the contact details on our website www.travelbeyond.co.nz

We take privacy complaints seriously. Our Managing Director will investigate your concerns and work with you toward a satisfactory resolution.

If you are not satisfied with our response, you may contact the Office of the Privacy Commissioner (OPC) at www.privacy.org.nz.

 

8. Disclosure of Your Personal Information

We will not use or disclose your personal information for a purpose other than:

  1. a purpose set out in this privacy policy (primary or secondary purpose above);
  2. a purpose you would reasonably expect;
  3. a purpose required or permitted by law;
  4. a purpose otherwise disclosed to you to which you have consented;

Depending on the circumstances, we may disclose your personal information to other people including one or more of the following:

Service providers including travel providers, agents, contractors, IT, security, legal, accounting, researchers, credit providers, credit reporting bodies, marketers, insurers, financial institutions and others;

  1. Our affiliates and related companies;
  2. Government, regulatory and law enforcement authorities, where we are required to or permitted to by law;
  3. Your employer, if you are an employee of our business client; and
  4. To prevent or investigate any fraud or crime (or a suspected fraud or crime).

We take reasonable steps to ensure that these organisations are bound by confidentiality, privacy and security obligations with respect to the protection of your personal information.

Trans Border Data Transfers

We may disclose your personal information to service providers located overseas. These providers may be located in any destination relevant to your travel itinerary.

Where personal information is transferred outside New Zealand, we will ensure that:

  • The organisation is subject to privacy protections that, overall, provide comparable safeguards to the NZ Privacy Act, or
  • We have taken reasonable steps to ensure the information will be protected (e.g., through contractual safeguards)

9. Countries in Which Overseas Recipients May Be Located

Due to the nature of our business, your personal information may be disclosed to travel suppliers in the countries you are travelling to, or through which you are transiting.

If we intend to disclose personal information to countries not related to your travel arrangements, we will seek your consent first.

 

10. Our Website

We collect anonymous website usage statistics to help improve our site and service offerings. This may include:

  • Page visits
  • Duration on site
  • Page interactions
  • Source of website referral

We use cookies to support website functionality and user experience. Cookies do not identify you personally. You may disable cookies in your browser settings, though this may affect website functionality.

We take reasonable steps to protect personal information from:

  2. Unauthorised access
  3. Misuse
  4. Modification
  5. Disclosure

We maintain physical, technical and administrative safeguards and regularly review our security practices. Personal information may be stored in secure paper files or electronic systems.

This policy will be reviewed every three (3) years or earlier if required by changes in New Zealand privacy legislation or business practices.
